Application/Approval Process

Unlimited Fields per Form
The portal allows us to add an unlimited number of fields per form. It supports over 40 different types of field such as text fields, dropdowns, file uploads, address auto-complete fields, sliders, conditional fields that change what other fields are displayed on the form based on the input of another field and many more.
Online Application Tracking
Applicants can click the link in their application confirmation e-mail to view the progress of their application as it passes through the various stages of the process.
Multiple Processes
The portal can accommodate multiple individual processes should you have different procedures for different type of applicant. For example, you could have an 18+ process and an under 18s process whereby the 18+ applicants can sign their own medical declaration whereas for the under 18s the portal will automatically contact their parent/guardian for approval.
Multiple Process Stages
Unlimited number of stages per process are supported, each with their own actions.
Automated Data Collection
The portal can be programmed to understand which people are required to provide what information and at what stage. When these stages are reached, the portal will automatically e-mail them with a personalised link, allowing them to submit the information electronically and without needing to manually sign-in.

Messaging System
Request more information from applicants/suggest alternative dates within the platform to allow all information to be kept in a centralised location instead of a combination of individual and shared e-mail inboxes.
Stage Field Assignment
Ability to assign different fields to different stages so that each piece of information is collected from the correct person.
Automated E-mail Reminders
If parties involved within the application process don't respond by a certain length of time then the system will automatically remind them to provide the information required.
Automated Stage Timeouts
Add automated stage timeouts for applications to prevent applications getting 'stuck' in the workflow process.
Data Protection/GDPR
Data protection features allow you to select which stage authorisers can see which fields.

Cancellations
Cancellation system to allow applicants to cancel their application should they change their mind. The system can automatically inform the placement supervisor if they have approved the request already.
Application Limits
If demand for your placements is high then you can ensure applicants can only apply for x number of placements within a financial year.
Age Checker
When clicking Apply on a placement, the system will check their date of birth to ensure they will be old enough to attend the placement.

Placement Discovery

Placement directory allowing applicants to easily browse through all the available placements using tools such as multiple filter types, ordering and a search bar.

Integrated ITSM
If you require support using the system, there is a dedicated button within the platform to instantly access our IT support, which allows you to log support tickets as well as viewing the progress of existing tickets you have submitted. This ensures you never have to wait in a phone queue for IT support.
Post-placement Surveys
Following the completion of the work experience placement, the portal can automatically send a personalised survey link to the placement student.
Certificates of Attendance
Following the completion of the work experience placement, the portal can automatically generate a PDF certificate of work experience attendance for the placement student.
